Create the final invoice

This page walks through creating the final invoice and making it available to the client, from step ③ Invoice of the inspection’s journey in the Document Center. Two moments, deliberately separate: create (nothing is sent), then make available (one email, no attachment).

Starting

Open the project, Document Center tab, By inspection view. As soon as the quote is signed, step ③ Invoice offers Create (it is the journey’s next step). The Invoice · to create pill on the inspection card leads there too. The bar’s Generate → Invoice does the same.

Step 1 — Items, taxes, attestation

The Create the final invoice window opens.

Items

The signed quote’s items are prefilled:

  • Description — for example “Pre-purchase inspection”.
  • Unit price ($).
  • Trash icon to remove a line; + Add an item to insert one (inspection type from your services, price).

Change the amounts if the mandate’s scope changed (an extra service, for example).

Automatic calculations

Under the list: Subtotal, GST / QST or the equivalent taxes for your business’s province, Total.

Attestation of completion

For an association agreement that provides for it (APCHQ), the Include the attestation of completion checkbox generates the “Attestation of completion of an inspection of a mainly residential building” page, prefilled from the inspection. It is saved as a mandate document: you make it available to the client with step ② if you wish.

Create

Click Create the invoice. The invoice is saved as a draft with its PDF; nothing is sent. A note under the window says so.

Step 2 — Make available in the portal

The confirmation screen offers Make available in the portal (or Close to do it later from step ③).

The button opens the “Your invoice is available” email, built on your invoice email template (Settings → Billing) with the variables resolved:

  • To: the client’s email, editable.
  • Subject: by default “Your invoice is available — address”.
  • Text — freely editable before sending; the list of documents concerned (the invoice) follows.

Click Make available. One email goes out, with no attachment: the client opens their invoice in their portal with the email’s button and finds it again under Your documents. The invoice turns in the portal; it is never signed.

If you configured an automatic invoice copy (accountant), that address receives a copy with the invoice PDF attached. See 11.3 Configuration.

Afterwards

On the inspection card, the Invoice pill reads draft then in the portal; in the journey, step ③ shows “available in the portal since …” and the Mark as paid button. See 11.5 Manage an issued invoice.
