Manage an issued invoice
Once the invoice is sent, it appears on the inspection page below the signed quote, accompanied by five action icons. This page describes each action, possible statuses, and the procedure to modify or delete an invoice.
Where to find the invoice
On the inspection page, the documents block displays in order:
- The service agreement (attached).
- The signed quote (1 action — View).
- The issued invoice (5 actions).
The invoice line shows:
- The total amount (for example $689.85).
- The status (Sent or Paid).
- The invoice number (for example

The five actions

1. View 👁
Opens the invoice in a new tab to consult it as sent. Read-only. Useful to check what was transmitted or to download the invoice for your archives.
2. Mark as paid ✓
Green checkmark that flips the invoice from Sent status to Paid status. This is a manual gesture: Lumos does not track payments automatically, it is up to you to check it when you have received the payment.
When you mark as paid:
- The status changes immediately.
- The checkmark icon becomes inactive or disappears depending on your version.
- The invoice remains accessible but becomes “closed” on the tracking side.
3. Edit ✏
Pencil that opens the invoice edit modal. You can:
- Add, remove, or modify items.
- Recalculate taxes and total.
- Adjust notes or payment instructions.
Changes are saved and the invoice is updated. If you want to resend the corrected invoice, then use the Resend action.
4. Resend 🛩
Paper plane that resends the original email to the client. Useful:
- If the client says they did not receive your email.
- After modifying the invoice.
- To follow up on a late payment.
The email reproduces the initial send, with any updates if you have modified the invoice in the meantime.
5. Delete 🗑
Red trash that removes the invoice from the inspection page. This is a final action:
- The invoice is removed from the page.
- The PDF is no longer accessible from Lumos.
- The client keeps the email and initial attachment (if already sent).
To use for:
- Send error — invoice sent to the wrong client or with a wrong amount that you cannot simply edit.
- Mandate cancellation — if the inspection is canceled and no amount is due.
Deletion is final. Before deleting, open the invoice via the eye icon and download the PDF if you want to keep a copy outside Lumos. Once deleted, the version archived in Lumos is no longer accessible.
Invoice statuses
Two statuses only:
- Sent — the invoice has been emailed to the client. This is the default status after creation + send.
- Paid — you marked the invoice as paid via the checkmark icon. This is a manual status.
Lumos does not have a “Late” or “Overdue” status — payment delay tracking remains your responsibility, in line with the deadlines you communicate to the client via your payment instructions.
Payment happens outside Lumos
Lumos does not process payments and does not integrate a payment gateway. Payment happens via the channel indicated in your Default payment instructions:
- Cash on inspection day.
- Interac e-Transfer.
- Bank transfer.
- Cheque.
When you receive the payment, you confirm it from your account or in person, then you mark the invoice as paid in Lumos.
Editing does not auto-resend
The Edit action updates the PDF in Lumos but does not automatically resend the updated invoice to the client. If you want the client to receive the corrected version:
- Click Edit and apply your changes.
- Click Resend to send the updated email.
This is a deliberate choice to avoid accidentally sending multiple emails to the client if you correct the invoice multiple times.
