Managing an attached agreement
Once the agreement has been sent with the quote, it appears on the inspection page, accompanied by three actions. This page describes each action, when to use it, and what happens when you remove or resend an agreement.
Where to find the actions

On the inspection page, in the section dedicated to contractual documents, the Service agreement line shows:
- The template name used (for example “AIBQ Service Agreement”).
- The attachment date (for example “Attached on 2026-05-04”).
- Three icons on the right: eye (view), paper plane (send PDF), red trash (remove).
Action 1 — View the agreement
The eye icon opens the agreement in a new browser tab. You see the PDF as it was sent to the client: pre-filled, with annexes, ready to sign.
Use it to:
- Verify what was sent — for example if you have a doubt about the options checked (Annex B, performance attestation).
- Resend the content to the client through another channel — you download the PDF and send it via WhatsApp, for example.
- Keep a copy in your internal files.
The action is read-only: you cannot modify the PDF from Lumos.
Action 2 — Send PDF (resend the email)
The paper plane icon resends the original email (with the agreement attached) to the client. The email reproduces the initial send: accompanying text, quote, agreement, options, and attached documents.
Use it to:
- Follow up with a non-responsive client — after a few days, a resend may be enough to unblock things.
- Compensate for a lost email — if the client says they did not receive your initial email.
- Send to a new address — if the client changes email or asks to send to an email shared with their spouse.
Lumos does not send automatic reminders. It is up to you to decide the right moment to resend or contact the client directly. Three to five days without a reply is a reasonable window for a follow-up.
Action 3 — Remove the agreement
The red trash icon removes the agreement from the inspection. This is a final action on the Lumos side:
- The agreement is removed from the inspection page.
- The attached agreement PDF is no longer accessible from the inspection.
- The inspection ends up with no attached agreement.
When to remove an agreement
Three typical cases:
- You need to modify the agreement — Lumos attaches only one agreement per inspection. If you want to change the template (for example switch from BNQ to AIBQ), add a forgotten annex (Divided co-ownership), or adjust a price that affects the contract, you remove the current agreement and send a new one. The procedure is: remove + redo.
- The inspection is canceled — if the client withdraws before signature, you can remove the agreement to clarify the inspection’s status.
- Send error — if you sent the agreement to the wrong client or with the wrong options and you want to start over.
Effects on the Lumos side
The removal:
- Does not notify the client. If the agreement was sent but not yet signed, the client keeps the PDF in their email — it is up to you to inform them if needed.
- Does not delete the linked quote. Both documents are managed independently.
- Allows you to attach a new agreement via the Prepare a quote flow, or via a dedicated action depending on the case.
Removal is final. Before removing, open the agreement via the eye icon and download the PDF if you want to keep a copy outside Lumos. Once removed, the version archived in Lumos is no longer accessible.
Modifying an agreement without removing it
You cannot directly modify an attached agreement. The agreement is frozen at send time. Any modification (template change, annex addition, price correction, inspection date update) goes through removal + resend.
This is a design choice: the agreement is a contractual document, and any modification must be traced by a new send.
One agreement per inspection
Lumos attaches only one agreement per inspection. You cannot have two active agreements simultaneously (for example one AIBQ and one BNQ) on the same inspection. If a renegotiation leads to changing the agreement, the flow is:
- Remove the current agreement.
- Prepare a new quote (which re-generates and attaches the new agreement).
