A project’s activity feed

The Activity feed view of the Document Center rebuilds, day by day, everything that happened on the project on the document side. It answers “what happened on this file?” and serves as a record in case of a disagreement with a client.

What is logged

Each line carries the time, the event type, the document involved and, when known, the person behind the action:

  • Project created
  • Document created or generated (quote, agreement, invoice, report, uploaded file)
  • Document sent to the client, and the email state (delivered, bounced, reported as spam) when known
  • Document opened or downloaded by the client in their portal, opened for signature (quote, agreement or prerequisites viewed without signing)
  • Document signed, paid
  • Document request sent, document requested, uploaded, accepted, declined (with the reason)
  • Reminder sent (by you, or by Lumos for automatic ones)
  • Portal link created, sent, regenerated, revoked; portal opened by the client
  • Message sent to the inspector from the portal, with its subject
  • Document removed from the Center

Who the actor is

Three possible actors: the inspector (you or a team member), the client (identified by email) and Lumos for automatic actions.

”Reconstructed history”

When the Document Center arrived, Lumos rebuilt the history of your existing projects from the dates already known (sent date, signature date, report opened date). Those lines carry the note Reconstructed history: they are accurate to the date, but do not carry the detail of an event witnessed live (exact email, number of opens).

Reading the feed

  • Days are sorted newest first; Today and Yesterday are named.
  • The Load more button at the bottom goes further back in time.
  • The feed is never erased: removing a document keeps its history.
