Request documents from the client

Instead of listing the expected documents in an email, you request them from the project’s Document Center. Each requested document becomes a Waiting for the client row with its deadline, and the client uploads them through their secure link.

Send a request

  1. Open the project, then the Document Center tab.
  2. Click Request from client. The button is disabled when the project’s client has no email: add it to the project first.
  3. Tick the expected documents. The most common ones are suggested (seller’s declaration, certificate of location, tax bills, declaration of co-ownership, previous reports, expert reports, work invoices). For anything else, type a label under Other document and click Add.
  4. Pick the deadline: 48 h, 5 days, before the inspection (computed from the selected inspection’s date) or a custom date.
  5. Leave Automatic reminder on if you want Lumos to remind a silent client (see below).
  6. Review the message, prefilled in the link’s language, and adjust it as needed.
  7. Click Send the request. Requested documents belong to the project (the Center’s Project file section), not to one inspection.

What the client receives

An email in your name (your company logo and name) with your message, the list of requested documents, the deadline and an Upload my documents button. The button opens their portal, To do section: no account to create. The client’s secure link is created if it did not exist, and its expiry is pushed back by 90 days.

Track the request

  • In the By status view, each requested document shows under Waiting for the client with a Due mention; past the date, the row turns red with Overdue.
  • The Waiting counter at the top of the tab includes these documents.
  • The activity feed records the send (“Document request sent”) and one entry per requested document.
  • As soon as the client uploads a document, its row turns Received under On my side: click Accept (on the row or in the sheet) to file it under Completed. A document the client says they do not have turns Refused with their reason, visible in the sheet; they can still upload it later. You receive an email on every upload or decline.
  • When no document of the request is still waiting, the request counts as completed.
  • Received files open from the sheet (View, Download).

Automatic reminder

With the switch on, Lumos sends the client a reminder after 48 h without a response, at most 3 times, and stops 7 days after the deadline. You can turn it off later in the sheet, and remind manually (Remind on the row or Remind the whole request in the sheet, 24-hour lock). Reminders show in the activity feed. See Reminding a client.

Withdraw a request

Open the requested document’s row and click Remove: the document leaves the client’s expectations and their portal. Removing every document of a request closes it.
